Proposal Breakdown

CRM & Business Operating System proposal for Derma4U · 21 October 2026

DRAFT21 October 2026 proposal

One connected business system. Two clearly separated customer journeys.

A production implementation based on the current demonstration: connecting enquiries, customer relationships, orders, stock and support, while keeping prescriptions and fat-loss injection activity separate from website ecommerce.

The current demonstration uses dummy data and simulated actions. This proposal covers moving an agreed version into production; it is not a claim that the demo is already a live or clinically approved system.

The final scope will be tightened once Derma4U sends its control spreadsheet and process details.

Website ecommerce

Trade and customer accounts, order history and fulfilment, abandoned-cart follow-up, repeat supplies orders, invoices and customer service.

Prescriptions & fat-loss injections

Patient records, clinic and prescriber management, prescription creation and confirmation, signed PDF documents and staff-led follow-up. Fat-loss injections are not offered through derma4u.co.uk.

Assumptions that keep the price fixed

One Derma4U business, the existing website, a single agreed customer portal, one initial import from cleaned CSV files and the current demo as the functional baseline. Website, email and WhatsApp connections use supported APIs and one provider each; discovery must confirm feasibility before the price is committed. Derma4U supplies access, approved wording, product data and clinical oversight.

Excluded and charged separately

Hosting, database and storage subscriptions; email and WhatsApp usage; Google Maps charges; payment-provider fees; ongoing maintenance; major website redevelopment; bespoke third-party connectors; extensive data cleansing; accounting-system integration; mobile apps; and patient questionnaires, consent, booking or aftercare pathways beyond the agreed scope.

Acceptance, launch support & clinical responsibility

Acceptance is measured against the agreed discovery checklist. Proposed inclusion: 30 days of post-launch defect correction for in-scope work, not new features. Derma4U approves clinical processes, legal wording and data-retention requirements. Security controls support safe handling but do not constitute regulatory certification, legal advice or a guarantee of clinical compliance.

Next step

Approve the proposal in principle, then confirm connection feasibility and the final scope before signing the fixed-price agreement.

Scope boundary

Existing demo screens define the starting point. Final acceptance criteria and exact connections are agreed during discovery; new treatment pathways or major website changes require a separate scope.
